Mail Services: Interdepartmental Mail


Overview

The State of Rhode Island's internal mail distribution program provides many state agencies with a postage-free method of sending interdepartmental mail to other agencies that are also serviced by the Central Messenger Service.

Pickup & Delivery

The Central Messenger Service provides remarkably efficient delivery of all interdartmental mail that it collects and distributes. Interdepartmental mail that is picked up in the morning quite often gets to its intended destination by the afternoon.

Providing that the envelope has a valid address, and has been completed correctly, all interdepartmental mail that is picked up and delivered by the Central Messenger Service is guaranteed to be delivered the following day. This does not include agencies that pickup their own mail at our facilities. For a list of agencies covered by this guarantee, see the delivered by the Central Messenger section of this page. This has been and continues to be the state's fastest delivery system, second only to email and facsimile.

Preparing Your Interdepartmental Mail

The biggest thing to remember for interdepartmental mail is that an address is ESSENTIAL. You wouldn’t mail a letter through the USPS without an address, nor should you through the Central Messenger Service. There are many “purchasing, personnel, human resource” offices throughout the State, so simply just using the name of an office is insufficient. It is recommended that you use an ADDRESS, DEPARTMENT, OFFICE-FLOOR#-ROOM#, and a person’s name.

Make sure you cross out ALL previous addresses on the envelope. If there are two addresses on the envelope, we may have to open the envelope to see where it is going. Central Messaging highly recommends that you use labels on the envelopes. This not only ensures that we are able to easily read the address, but it also increases the number of times the envelope can be utilized, since you can put one label on top of another.
